Warranty
WILL YOU WORK WITH MY INSURANCE OR WARRANTY COMPANY?
Yes. Excluservice will assist clients with claims involving insurance companies, extended warranty companies, vehicle service contracts, aftermarket warranty companies, and other third-party payers, subject to the policies below.
It is important to understand that your insurance policy, warranty, or service contract is an agreement between you and the third-party payer. Excluservice is not a party to that agreement.
Excluservice's responsibility is to assess your vehicle, determine what repairs we recommend, and establish our pricing for those repairs.
The third-party payer's responsibility is to determine what it is willing or obligated to pay under its agreement with you.
OUR PRICING IS NOT NEGOTIABLE
Excluservice does not change its labor rate, labor charges, parts pricing, or repair procedures to meet the pricing requirements of an insurance company, warranty company, or other third-party payer.
If the third-party payer is willing to pay only a portion of Excluservice's charges, we are happy to accept that payment and apply it toward your invoice.
The client is responsible for the remaining balance.
We will not discount our pricing as a condition of receiving payment from a third-party payer.
If an insurance or warranty company refuses to contribute toward a repair unless Excluservice reduces its pricing, that is a matter between you and that company.
EXCLUSERVICE SUPPLIES THE PARTS
Excluservice does not install customer-supplied, insurance-company-supplied, warranty-company-supplied, or other third-party-supplied parts.
We control the sourcing of the parts we install so that we can verify their origin, quality, correct application, and properly stand behind the repair.
If your insurance or warranty company requires that it supply the parts as a condition of payment or coverage, you may need to have the vehicle repaired at another facility.
TESTING, ASSESSMENT, AND DISASSEMBLY
Coverage cannot always be determined before a vehicle has been properly assessed.
Testing, assessment, disassembly, teardown, or other labor may be necessary to determine the cause and extent of a problem and to provide a third-party payer with the information it requires to evaluate a claim.
Any testing, assessment, disassembly, teardown, or other labor authorized by the client is the client's financial responsibility regardless of whether an insurance company, warranty company, or other third-party payer ultimately approves, partially approves, delays, or denies the claim.
Authorization to perform work is authorization to pay Excluservice for that work.
Authorization is not contingent upon insurance coverage, warranty coverage, reimbursement, or payment by any third party.
If additional work is required, additional authorization will be obtained when necessary before proceeding.
THIRD-PARTY CLAIM ADMINISTRATION FEES
Insurance and warranty claims require administrative work that is separate from repairing the vehicle.
This may include:
- Telephone calls and time on hold
- Opening and administering claims
- Providing findings, estimates, photographs, and documentation
- Communicating with adjusters, inspectors, or claims representatives
- Making the vehicle available for inspection
- Filing supplements or providing additional information
- Obtaining approvals and payment information
- Collecting payment from the third-party payer
Third-party claim administration is billed at $150 per hour.
Before Excluservice contacts an insurance company, warranty company, or other third-party payer on the client's behalf, the client must authorize a minimum $150 claim administration fee. Additional administrative time will be billed at the same $150 hourly rate.
Administrative fees are due regardless of whether the claim is approved, partially approved, delayed, or denied and regardless of whether the client ultimately proceeds with the recommended repairs.
Administrative fees are not waived, discounted, credited toward repairs, or reduced based upon the amount of work authorized.
The client is responsible for all claim administration fees.
THE CLIENT REMAINS RESPONSIBLE FOR THE INVOICE
An insurance company, warranty company, or other third-party payer is not Excluservice's customer.
The client who authorizes Excluservice to perform work remains responsible for all authorized charges.
A third party's approval, denial, delay, payment limitation, pricing disagreement, or other decision does not modify or cancel the client's authorization or financial responsibility to Excluservice.
Any payment received from an insurance company, warranty company, or other third-party payer will be applied as a credit toward the client's invoice.
The client is responsible for all remaining charges.
This applies even when a third party has indicated that a repair is “covered.” Coverage does not necessarily mean that the third party will pay Excluservice's entire invoice.
COVERAGE AND CONTRACT DISPUTES
Excluservice does not guarantee that any repair, part, labor operation, testing, assessment, administrative fee, or other charge will be covered or reimbursed by an insurance company, warranty company, or other third-party payer.
We also do not interpret, enforce, or adjudicate insurance policies, warranty agreements, or vehicle service contracts.
If you disagree with a third party's coverage determination, payment amount, interpretation of your policy or contract, or decision not to proceed with a repair at Excluservice, that dispute must be resolved directly between you and that company.
Excluservice will provide reasonable documentation regarding our findings, recommended repairs, and charges, but the client is responsible for pursuing any dispute regarding the benefits or coverage provided by their policy or contract.
OUR RIGHT TO DISCONTINUE PARTICIPATION
Excluservice is under no obligation to continue administering a claim when an insurance company, warranty company, or other third-party payer requires pricing concessions, third-party-supplied parts, repair procedures, or other conditions that conflict with Excluservice's policies or recommended repair.
We reserve the right to decline or discontinue participation in any third-party claim.
If Excluservice discontinues participation, the client remains responsible for all testing, assessment, labor, administrative fees, and other charges already authorized and performed.
The client may then choose to proceed with the repair at Excluservice without third-party participation or arrange to have the vehicle taken to another repair facility.
WHAT DOES “WORKING WITH YOUR INSURANCE OR WARRANTY COMPANY” MEAN?
When Excluservice says that we will “work with” your insurance company, warranty company, or other third-party payer, it means that we will act as a liaison to help facilitate the claim.
We will:
- Contact the third-party payer.
- Provide our findings and estimate.
- Provide reasonable photographs, documentation, and other information necessary to evaluate the claim.
- Cooperate with an adjuster or inspector when required.
- Communicate regarding the company's authorization or payment determination.
- Accept payment directly from the third-party payer when acceptable payment arrangements can be made.
- Apply any payment received from the third-party payer toward the client's invoice.
Working with a third-party payer does not mean that Excluservice agrees to that company's pricing, labor allowances, parts allowances, supplied parts, repair procedures, coverage decisions, or interpretation of your policy or contract.
It does not mean that we guarantee coverage, negotiate our pricing, or accept another company's determination of what our repair should cost.
The insurance or warranty company determines what it is willing or obligated to pay under its agreement with you.
Excluservice determines what we charge for the repair.
The client is responsible for any difference.
In simple terms:
We will help facilitate your claim. We will not negotiate our prices or change the way we operate our business to satisfy the financial requirements of an insurance company, warranty company, or other third-party payer.
